Personal Assistant to the CEO

Providing an efficient and confidential administrative support as PA to the CEO and to some central functions.

Responsibilities include:

  • Managing the CEO’s electronic calendar, mail and scheduling of appointments and meetings (video conferencing, GoTo meetings etc), including coordinating calls with customers, analysts, press, investors, and internal meetings;
  • Handling day-to-day administrative and operational matters including monitoring of deadlines and follow-ups with various departments;
  • Organizing and managing documents, correspondence, expense claims, records and maintaining an organized electronic filing system for smooth data retrieval;
  • Screening telephone calls, enquiries and requests, and handling them appropriately according to priority and preference;
  • Preparing Minutes of meetings, letters, memos and other documents;
  • Making travel arrangements for local and overseas trips including itineraries, flight arrangements, hotel accommodation and visas;
  • Undertaking other special assignments, ad-hoc functions and related duties as and when required;
  • Performing general secretarial and reception functions.

Requirements:

  • Possession of at least an Advanced/Higher/Graduate Secretarial Diploma, or equivalent;
  • Minimum of 5 years of working experience as a Secretary or PA to senior management in a professional work environment;
  • Proven ability to deal with confidential matters discreetly;
  • A flexible, pro-active approach to work;
  • Ability to work with minimum supervision and have good planning and organizational skills;
  • Proven administrative skills with an ability to prioritize, manage and complete a variety of tasks in periods of high pressure;
  • Strong organizational skills with excellent attention to detail;
  • Great interpersonal skills to be able to establishing strong working relationships with colleagues from different functions and diverse cultures;
  • Ability to show good initiative, enthusiasm, and out-the-box problem-solving approaches to new challenges;
  • Ability to deal with routine work such as filing and photocopying;
  • Proven advanced IT Literacy on Microsoft Packages including Word, Excel, PowerPoint Presentations and Outlook are essential;
  • Good touch-typing skills (at least 50 words per minute);
  • Excellent written and spoken English to be able to take and write Minutes (short-hand would be advantageous), to draft papers and be able to write routine correspondence.
